2,550 ticks a day: the hidden paperwork in a 150-seat medical college

Before talking about software, it helps to see the size of the daily work in a medical college.

Take a 150-seat college running all four MBBS phases. On a typical weekday, it runs about 52 teaching sessions: lectures, practical and small-group sessions, and clinical postings across departments. Every one of them needs attendance.

Here is how that adds up on an ordinary weekday:

  • Phase 1 (Pre-clinical): 3 lectures and 6 practical groups, so 9 sessions and about 750 attendance entries
  • Phase 2 (Para-clinical): 2 lectures, 3 practical groups and 10 clinical posting groups, so 15 sessions and about 600 entries
  • Phase 3.1 (Clinical I): 2 lectures, 2 practical groups and 10 posting groups, so 14 sessions and about 600 entries
  • Phase 3.2 (Clinical II): the same pattern, so 14 sessions and about 600 entries

That is roughly 2,550 attendance entries every working day, or about 5.1 lakh a year. Interns, PG residents and allied health programmes add to that. These are illustrative figures based on a common timetable pattern, and every college's numbers will differ a little.

Where the paperwork goes today#

Attendance is only the start. Most sessions should also leave a record of what was taught, what students understood and how they felt about the class. In most colleges, that record is scattered:

  • On paper: around 2,550 ticks in registers every day, counted by hand before every exam to find out who is short of attendance.
  • In WhatsApp and Excel: class notes shared in groups, internal marks kept in personal spreadsheets.
  • On feedback forms: collected after sessions and rarely tallied.

When the Vice Principal needs an attendance shortage list, someone has to build it from these sources by hand.
