Why official circulars don’t belong on WhatsApp
It’s 7 PM and the Pathology exam has moved. Here’s why WhatsApp keeps failing medical colleges for official notices, and what a proper circular system looks like.

It is 7 PM. The Pathology internal assessment has moved to Friday, and 150 Phase 2 students need to know before morning.
In most Indian medical colleges, that message goes out on WhatsApp. Someone types it into the batch group and a few faculty forward it. By 9 PM it is buried under forwards and birthday wishes. On Friday morning, a handful of students turn up at the wrong time and say nobody told them.
WhatsApp is a good chat app. It was never built to carry a college's official decisions.
Five problems with running a college on WhatsApp#
- Official notices sit next to personal chats. Circulars go out from faculty members' personal numbers, mixed with family groups and forwards.
- Blue ticks are not proof of reading. You can see that a message was delivered, but you have no record of who actually read and understood a circular.
- Important messages get buried. A notice posted at 7 PM can scroll out of sight within hours.
- You can't message one role cleanly. There is no simple way to reach only Phase 2, only the wardens or only the HODs without building and maintaining separate groups.
- The history leaves with the phone. When a coordinator changes their number or leaves the college, the record of what was announced goes with them.
What official college communication actually needs#
Nobody needs to give up chat. Students and faculty will keep talking the way they do. What a college needs is a separate, official channel with five things WhatsApp can't give it:
- Reach the right people. On WhatsApp, that means many hand-built groups. In Methodder LMS, role broadcasts go to a phase, batch, department or all faculty.

In an illustrative run with 168 recipients (150 students and 18 faculty), 141 had acknowledged by 9 PM, 15 had opened it without acknowledging, and 12 hadn't opened it. One tap reminds just those 27 people.
On Friday morning, nobody can say they weren't told, and the college has the record to show it.
Messages that send themselves#
